This step by step guide will walk you through the process of setting up your property in Hotel Sync, helping you configure all the essential settings for a smooth and efficient start.
Please note: Although you can perform this configuration through your mobile phone, for greater convenience we suggest you perform this process from a computer.
If you wish to add a new property and already have a Hotel Sync account, log in to your account and select: "Add a new property"
If this is your first time logging into your account, the platform will take you to the following section to get started:
Basic Property Information.
Property Name: Enter the name of the property (name of your apartment, house, estate, building, or the name of your vacation business or hotel).
Property type: Hotel, Apartment, House, Hostel/Inn, Motel, Aparthotel, Cabin/Glamping, Resort, Villa/Country Farm.
Property address: Enter the address as shown on Google Maps and confirm.
Note: If your address does not appear on Google Maps, select "Custom entry" and fill in the details: address, city, latitude, longitude, Postal code (optional) and Country.
4. Number of units: Enter the number of units your property has
Note: If your property has one (1) apartment, house or villa that is rented out as a whole, the number of accommodations is one (1). Do not enter the number of bedrooms for the room type, as this information is recorded later when creating the room types or in Settings > Rooms.
Note: If you will be using a Booking.com listing to upload photos of your room types, click "Booking.com" to begin setting up your room types there and go to the "Insert Accommodation Images > Booking Images" section of the guide, where you will find step-by-step instructions for inserting Booking images and completing the setup.
1. Unit Type Name: Enter the name of the room that will be visible to your guests. Examples: Apt. 302, Duplex Apartment with large terrace, Room with double bed, Bed in shared room, etc.
2. Unit type: Room (private), apartment (entire), cabin (Bungalow or Glamping), villa (house, villa or entire estate), bed (shared in a room), house (entire), event (day trips).
3. Short name: Use a short name of a maximum of 6 letters and numbers to easily identify these accommodations in your calendar and other platform reports.
4. Number of units: Number of units or hotel rooms with the same configuration. Enter the number you wish to use to identify each unit or room on the calendar (Example: 101, 102, 202, 310, etc.).
Note: If you are setting up an entire accommodation (Apartment, House, Villa, etc.) you must place one (1) keeping in mind that it is your only booking unit for that property.
5. Standard price: Standard price for room type with that configuration.
Later, in Settings > Rooms or Pricing plans, you can define different rate plans, restriction plans, prices per person and other qualities for each room type.
See the guide here.
6. Guests number: Maximum guest capacity for that room type.
7. Area (m2): Indicates the square meters of the room type
8. Number of bathrooms: Select the number of bathrooms offered by this room type. It doesn't matter if the bathrooms are shared, as is the case in hostels and guesthouses.
Important note: Do not group room types with different addresses under the same property. To do this, you must create a new property.
Insert images of the room type.
Airbnb Images: Once you have completed the basic details of your room type, press the images button to expand the field to insert the Airbnb link that will bring up to 32 photos of your accommodation.
The Airbnb URL should only contain the information up to and including the question mark ("?"), for example: https://www.airbnb.com.co/rooms/1001733 .
Press "Import from Airbnb" to upload the images; this process may take a few minutes.
Note: Once you have uploaded the photos of your accommodation from Airbnb, go to the bottom of the window and press "Save unit" to save the information.
Note: If the room type photos are saved on your computer, click Browse to open the desktop window and select the photos your guests will see.
Booking.com Images : If your property is listed on Booking.com, click on the word "Booking.com" to open the link field. Enter the link in the selected field and click "Import from Booking.com." This will load the information for each room type; the process may take a few moments. Once the information is fully loaded, click the pencil icon to edit the basic details of the room type if necessary.
Note : The Booking.com URL should only contain information up to .html
If your basic accommodation details are complete and correct, press "Save Unit" to save your accommodation information.
If you wish to add more room types to the property, click again on "Insert room type" until all room types or hotel rooms are completed.
If you need to duplicate, edit, or delete any of the created accommodations, you must click on the available options to make your adjustments.
Finally, once you are sure that the information has been entered, click "Complete setup" to save it. If your property has a large number of room types, we suggest adding some from this section and the rest from the All settings > Rooms.
