Configuring pricing per person within the system for the booking engine allows you to set accommodation rates based on the number of guests staying in a unit.
This enables you to tailor your pricing strategy to various guest combinations and more precisely define the rates charged according to the accommodation unit's capacity.
The steps for configuring pricing per person, as well as how these defined rates are applied, are explained below.
Note: Per-person rates configured in this way apply exclusively to pricing displayed on the booking engine or to direct reservation entries within the system. You must configure per-person price variations for online sales channels directly on each specific channel.
Prices per person can be set in two ways:
Directly at the room setting will then apply to all rate plans that include that room type
In the specific rate plan, that setting will apply only to that rate plan
Setting prices per person in the room configuration
Go to All settings > Rooms > Room edit, go to Advanced settings, check Price per person box
Based on the occupancy entered for each room type, the system will suggest the number of persons for whom prices per person can be entered.
To set per-person rates, you first need to determine a base rate, that is, the price applicable to a specific number of people, which is the rate you enter into the price list. Subsequently, you define price variations for a smaller or larger number of people relative to the selected base occupancy.
You can adjust the variations by percentage or by a fixed amount.
The following is an example of a setting with percentage-based variation:
The room is occupied by 3 people. We want the price we enter, that is, the base price to be for 2 people (100 eur), then in the field for 2 people we enter the value 100%
In our example, the price for one person would be 80% of the price for two people (80 eur), while the price for a third person is 120% of the price for two people (120 eur).
The following is an example of a setting with fixed variation:
The room is occupied by 3 people. We want the price we enter, that is, the base price to be for 2 people (100 eur), then in the field for 2 people we enter the value 100%
In our example, the price for one person would be €20 lower than the price for two people (80 eur), while the price for a third person would be €20 higher than the price for two people (120 eur).
Setting the price per person through the price plan
If you want to set prices based on the number of guests for each specific rate plan, you can override the settings entered in the room editing section and define new rules based on guest count directly within the rate plan; simply go to Settings > Rates > Edit the desired rate plan, and under advanced settings, click on "Price per person."
Those changes will then apply ONLY to that pricing plan
When the configuration input pop-up window opens, you need to define the following:
Minimum number of people
Maximum number of people (based on this number, fields for entering the price per person are offered)
Will this setting apply to all dates or
Or it will be valid for a specific period (if you select a date range, the per-person prices will cease to apply once that range expires)
Select the room types for which this setting will apply (select one or more room types from the drop-down menu)
Enter the setting related to children's prices (whether you have surcharges for certain categories of children or not)
Choose whether the price for a child is the same regardless of the number of children in the room or not.
Finally, enter the variation for prices per person as explained above
